How much does process automation cost?

Short answer: a simple automation of one process usually costs PLN 1,500 to 5,000 (about EUR 350 to 1,150), and a larger project that links several processes costs PLN 10,000 to 50,000 (about EUR 2,300 to 11,600). But the price alone says little without a second number: how much that automation will save. Below we show both.

What drives the price of automation

The price does not come from a price list. It comes from what actually needs to be done. A few things affect it:

  • How many processes you automate. One simple process is cheap. Five connected ones are a project.
  • How many programs need to be connected. The more systems (shop, warehouse, invoicing, e-mail), the more work.
  • How unusual the process is. Standard tasks go faster than ones that look different in every company.
  • Whether you need a results dashboard and error notifications.
  • How much traffic there is. Handling a few hundred events a day costs differently than tens of thousands.

What it costs in practice

For orientation, here are the ranges you will find on the Polish market:

On top of that comes maintenance: a fixed monthly fee for someone keeping an eye on the system and reacting to problems. It is usually PLN 200 to 2,000 a month, depending on the size of the system.

The more important question: how much you will save

The price of automation only makes sense next to a second number: how much money and time you get back. A cheap implementation that changes nothing ends up more expensive than a bigger one that pays for itself in a few months.

That is why with us the implementation price is a fraction of what you will save over a year. You pay a share of the benefit, not a fixed rate for hours. It is easiest to see in an example.

A worked example

Suppose one repetitive process takes your team 40 hours a month. An hour of work costs the company about PLN 100.

Result: In this example the automation pays for itself in under four months, and in the first year it returns more than three times what it cost.

That is the whole idea: we do not ask whether automation is cheap, but whether it pays off. If the numbers do not add up, we say so plainly and do not push for an implementation.

A real example: Mal-Drew

At the Mal-Drew building supplies store, more quote requests were coming in than the team could handle. Some e-mails went unanswered and customers went to competitors.

We built a system that reads the request, searches for matching products in a catalogue of 19,000 items and prepares a ready draft quote. The salesperson only checks and approves.

Ongoing costs: maintenance

Automation is not a piece of furniture you set up once and forget. Programs change, new situations come up. That is why after implementation we make sure everything keeps working and react when something gets stuck. The fixed fee covers:
